Job Description Summary

The Senior Facilities Coordinator plays a vital role in facilities management team, overseeing the day-to-day operations, maintenance, and enhancements of the client’s site facilities. This position ensures that facilities adhere to operational performance standards, comply with regulations, and create a safe, efficient, and welcoming environment for clients and occupants. Serving as the main point of contact for service vendors, the Senior Facilities Coordinator collaborates closely with the building General Manager, Facilities Manager, and internal teams, all while contributing to the overall success of the facilities management program.

Job Description

On-Site Presence:

Maintain a consistent and professional on-site presence to oversee facility operations, address immediate maintenance needs, and ensure the smooth functioning of the workplace environment.

Demonstrate the ability to work autonomously, manage priorities effectively, and take initiative in daily tasks, while maintaining a high level of professionalism and accountability.

Ability to perform job responsibilities with minimal supervision, exercising sound judgment and problem-solving skills in dynamic environments.

While under the supervision of the Facilities Manager, the Sr. FC will perform the below duties, as such:

• Coordinator will work closely with the Facilities Manager to ensure the efficient operation of the facility while maintaining a safe and compliant working environment. This position requires strong organizational and communication skills.

• Provide general overall facility management services, including continuous monitoring of office/facility, address client inquiries and concerns ensuring timely and quality issue resolution and service delivery, and follow up with clients to ensure customer satisfaction.

• Respond to all facility inquiries and grievances, assess problems and take the necessary corrective action, remain knowledgeable regarding all operational aspects of building systems, and coordinate with outside contractors for the service and repairs of equipment.

• Follow protocol for effective building-specific maintenance and safety procedures, maintain on-going communication with contractors, client, and facilities management team, and assist with site inspection for client site.

• Schedule and document maintenance and repairs on building equipment, and communicate frequently with the Engineering team to resolve issues and provide project status updates to the Facilities Manager.

• Act as the primary point of contact for client inquiries and escalations regarding facilities management.

• Develop and maintain strong relationships with internal and external stakeholders.

• Provide regular reports on facility performance, maintenance schedules, and project updates.

• Support facility improvement projects, office moves, and space planning initiatives.

• Collaborate with cross-functional teams to ensure successful project execution.

• Track project timelines, deliverables, and budgets.

• Performs other related duties as required or requested.

Vendor Management:

• Ensure vendors comply with company policies, safety standards, and regulatory requirements.

• Create work orders and assign work orders to the engineering staff, report on open and closed work orders and check the status of open work orders with the assigned party.

• Verify final invoice pricing and send to finance for processing of payments in a timely manner.

• Manage relationships with third-party vendors and contractors, ensuring quality and adherence to service level agreements.

• Cultivate and maintain professional relationships with authorized vendors to ensure timely delivery of high-quality products at competitive prices.

Budget and Financial Management:

• Assist the Facilities Manager in budget planning and tracking expenses related to client’s facilities operations.

• Monitor costs, identify opportunities for cost savings, and report variances.

Ticket Management:

• Enter and manage facilities-related tickets in the work ticket system, ensuring timely resolution and efficient tracking of maintenance requests, repairs, and service needs.

• System Proficiency: Demonstrate expertise in navigating the work ticket system, streamlining operations and ensure proper documentation of service requests as well as pulling reports.

Supply Management:

• Order and manage facility supplies and materials from authorized vendors, ensuring compliance with company procurement policies and maintaining appropriate inventory levels.

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.

The company will not pay less than minimum wage for this role.

The compensation for the position is: $33.65 - $33.65
