Responsibilities
Project Management
Assess new project requests, identifying scope, potential risks, and missing requirements.
Develop and manage comprehensive project plans, including timelines, milestones, and deliverables.
Monitor and review project progress, making adjustments as needed to ensure success.
Lead project-related meetings, including kick-offs, status updates, and reviews, documenting key action items and follow-ups.
Prepare and maintain weekly status reports to share updates and insights with key stakeholders.
Coordinate project team activities to ensure tasks are completed with high quality and on schedule.
Manage the creation and assignment of tickets, ensuring clear workflows and accurate tracking of deliverables.
Campaign & Creative Management
Oversee brand-focused projects, campaigns, and events from inception to execution, ensuring alignment with team objectives.
Manage production processes across creative, marketing, partners, and event workstreams, balancing priorities and deadlines.
Organize and maintain asset libraries, applying consistent naming conventions and storage protocols.
Collaborate with cross-functional teams, as needed, to deliver cohesive campaigns and projects.
Support the creation of presentations and documentation, ensuring they reflect the team’s priorities, strategies, and deliverables.
Strategic Planning & Process Improvement
Identify opportunities to optimize workflows, production cycles, and ways of working for greater efficiency.
Evaluate project management tools and implement enhancements to support team productivity.
Systematize and document engagement processes, ensuring clarity and scalability for the team.
Vendor & Stakeholder Management
Act as the primary point of contact for all project stakeholders, ensuring clear communication, alignment, and timely feedback.
Manage relationships with third-party vendors and partners, including agencies, video production teams, and experiential producers, to deliver high-quality results.
Negotiate timelines, deliverables, and expectations with vendors to meet project goals.
Ensure all external collaborations align with the team’s objectives and uphold brand standards.
Qualifications
Minimum experience (relevant): 5 years
Maximum experience (relevant): 7 years
Must have skills:
Strategic Thinking : Ability to critically evaluate projects, ensuring deliverables align with the brief and objectives. Comfortable making judgment calls and providing solutions, rather than simply passing work for review.
Project Management Expertise : Proven ability to assess project scope, develop comprehensive plans, and manage timelines, milestones, and deliverables effectively.
Creative Operations Skills : Experience managing workflows and processes for creative projects, including ticket creation, task tracking, and content production.
Stakeholder Communication : Strong written and verbal communication skills, with the ability to provide clear updates, flag risks, and align expectations.
Technical Proficiency : Familiarity with project management tools (e.g., Asana, Trello) and content management systems, ensuring smooth workflow execution.
Time Management : Demonstrated ability to prioritize competing tasks and deliver high-quality work under tight deadlines.
Good to have skills:
Basic understanding of content production publishing
Experience with global initiatives is a plus
Video production experience (managing pre- to post-) is a plus
Experience with platforms and product dev is a plus
Experience managing third-party vendors, including negotiating deliverables, timelines, and budgets.
