Job Title: Program Administrator and Research Associate Grade: 22Salary: $79,116 - $95,435The Research Foundation for Mental Hygiene is seeking a qualified candidate to fill two (2) full-time Program Administrator and Research Associate positions at the New York State Psychiatric Institute (NYSPI). The Health and Aging Policy Fellows Program aims to create a cadre of leaders who will serve as change agents in health and aging policy to ultimately improve the health care of older adults. The position offers a rich and unique training and enrichment program that is focused on current policy issues, communication skills development, and professional networking opportunities to provide fellows with the experience and skills necessary to help affect policy.The Program Administrator and Research Associate will play a critical role in managing the Health and Aging Policy Fellowship, providing both general administrative and fiscal support to the program as well as managing small research grants. This role requires a strong focus on details, including timelines and deliverables and overall exemplar project and grants management skills. The ideal candidate will be well-organized, conscientious, and detail-oriented with a solid background in administration and grants management. The chosen candidate must be able to work well in a collaborative environment, balancing multiple tasks while ensuring accuracy and efficiency in deliverables.The candidate will also support various research activities that focus on strategies to better integrate behavioral health services in diverse settings including general medical care, PACE settings, etc.This is a full-time hybrid position with a minimum of 2 days/ week working in-person in the office. The chosen candidate must be able to work Monday to Friday, as well as occasional evenings for travel to/from DC for HAPF related meetings.Duties and Responsibilities:Program Administration and Management (60%)Program Coordination:•Prepares and runs weekly team meetings.•Participates in other meetings and relevant calls, as requested by the Director of the program.•Facilitates regular coordination with key stakeholders, including staff, fellows, funders, and other external partners to ensure alignment and smooth execution of all activities.•Facilitates communications with CMS, AcademyHealth, and APSA to enroll new fellows in orientation sessions.•Provides guidance and support in responding to questions and inquiries from current and incoming fellows.•Has lead responsibility for planning and coordination of the annual HAPF Orientations, Communications Workshop, Spring Policy Symposium, and Capstone Meeting, incl. coordination with venue space, hotels, and caterers.•Sends invitations, tracks RSVPs, and finalizes agendas for all meetings organized by the national program office.•Implements post-event evaluations and subsequent reports detailing participant feedback and suggestions for the future.•Travels occasionally to Washington, DC for Fellowship meetings.•Schedules monthly individual mentoring calls between fellows and HAPF leadership.•Schedules and prepares regular group calls between fellows and HAPF staff.•Assists with coordination of post-fellowship career coaching.•Participates in fellowship application, review, and selection processes.Budget & Grant Management (HAPF program and small research grants):•Monitors grant expenditures (monthly expenditure reports) and works closely with grants management and accounting staff at the Research Foundation for Mental Hygiene, Inc. as well as funding agencies to ensure accurate fiscal administration of all grants.•Monitors financial arrangements related to remuneration, stipends, and other benefits provided to HAPFellows and program participants.•Contributes to writing of grant applications and drafts budgets.•Participates in training session on travel reimbursements for incoming fellows.•Sets up fellows' contracts and supports with support of staff at the Research Foundation for Mental Hygiene, Inc.•Negotiates contracts with outside vendors incl. but not limited to research consultants, hotel/event spaces, caterers, etc. •Prepares financial and narrative reports of all grants in accordance with the guidelines of the funding agencies and the Research Foundation for Mental Hygiene, Inc.•Works collaboratively across different departments at RFMH.•Participates in team meetings, preparation and implementation of grants and publications.Research (40%):•Conducts research on issues related to Behavioral Health Integration and PACE programs.•Synthesizes and organizes findings from literature reviews and other sources related to Behavioral Health Integration and PACE programs.•Assists with development of surveys of key stakeholder groups. •Assists with conducting qualitative interviews with experts of key stakeholder groups.•Conducts administrative tasks related to the research project (e.g., drafting correspondence, setting up interview and travel schedules, etc.).•Assists with qualitative data analysis (data derived from surveys and interviews).•Collaborates with other members of the research team to draft study reports on findings and contribute to scientific manuscripts. •Participates in regular team meetings (both in-person and via zoom).•Cross-collaborates with other staff members working on various research projects related to Behavioral Health Integration.•Fulfills other tasks as requested by the principal investigator.Minimum Qualifications:•Master’s degree in public health, Public or Business Administration, Health Policy, Political Science, Sociology or another related field. •At least 2 years of employment in an administrative and grants management capacity.•A minimum of 2 years work experience in health policy research.Preferred Qualifications:•1-2 years' work experience in a non-profit or academic environment.•College coursework in health policy or policies affecting elderly populations or prior work experience or volunteering experience in a health or aging environment as shown on candidate's resume.•1-2 years of behavioral health services research experience involving PACE programs or other issues related to geriatrics/aging or behavioral health service delivery.•1-2 years of experience conducting Delphi panel studies.•1-2-years of experience working with Qualtrics or other survey tool such as RedCap.
