The Finance Executive Office is responsible for ensuring alignment of policies and procedures with Mayoral Initiatives and reporting the potential impact on these initiatives due to legislative changes.
The DSS Finance Executive Office is requesting one (1) Principal Administrative Associate (PAA) II position inn the Administrative Services Unit to function as the Management Services & Special Events Coordinator who will:
Coordinate the timely ordering and delivery of required office equipment and supplies for the DSS Finance office, in accordance with operational needs, budget constraints and management priorities. Unload supplies and maintain supply room.
Plan, coordinate, and fundraise for staff events in keeping with Agency initiatives including but not limited to: Employee Excellence, Customer Service Week, Employee Recognition and Take your Children to Work Day. Oversee staff participation in Agency sponsored programs and various other programs/events sponsored by the Agency.
Manage and direct operations and planning needed to maintain the DSS Finance Office, including space floor plans and staff moves, inventory of supplies, intranet/internet updates, environment, furniture, record retention and securing interns, on an ongoing basis.
Responsible for sorting and distributing Finance Office mail. May supervise support staff and provide back up to administrative staff in their absence, including telephone coverage for Finance executive staff.
Prepare reports, including the DSS Finance Office Emergency Preparedness Plan, Finance Administrative Office manual and maintain cooperative drive.
Coordinate staff training including internal training, Information Technology Systems computer, and software training, HRS training and DCAS training. Inform staff of civil service examination notices.
Liaise with various support administrative offices, i.e., GSS, ITS, HRS to ensure uninterrupted continuation of the DSS Finance Office functions.
Perform other special projects as needed.

Qualifications
A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or
A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;
Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.
