Job Description

The Fire Department, City of New York (FDNY), seeks a full-time Clerical Associate in the Court Desk and Litigation Support Unit of the Bureau of Legal Affairs. Reporting directly to the Court Desk Supervisor and assisting both the General Law Unit and Records Management Unit, the successful candidate will primarily help ensure the timely processing of uniform and civilian employee notifications of examination before trial/EBT (depositions and interviews) in response to subpoenas and ongoing litigation. Responsibilities and tasks include but are not limited to: monitoring email inboxes to ensure prompt receipt of requests; contacting employees and other FDNY units as necessary to locate employee and/or gather all records sought; reviewing documents and flagging privacy or HIPAA issues for the Court Desk Supervisor; immediately notifying the General Law Unit of any issues or conflicts with employee appearance for EBTs. The position requires providing a courteous and professional demeanor to private law offices, FDNY employees, the New York City Law Department and other city/state agencies such as the Office of the Chief Medical Examiner (OCME) and District Attorney’s Offices, as well as federal agencies. Although assisting other FDNY legal units and Court Desk staff, the Clerical Associate will be expected to work independently and may serve as a point of contact for parties requesting EBTs or records. Additionally, the Clerical Associate will ensure compliance with FDNY records access policies, HIPAA, and other privacy laws governing records disclosure.

Qualification Requirements

A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and one year of satisfactory clerical experience.

Skills Requirement

Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute.
