Overview

The HR Associate will be accountable for timely and accurate processing of all employee record updates and act as first point of contact for general employee inquiries. The HR Associate will partner closely with and be a key liaison to employees. In addition, the HR Associate will provide administrative and project management support to the greater Talent team, reporting directly to the Associate Director, Talent. Lastly this position will partner closely with the Resource Management lead to ensure back-up support for talent mobility within Publicis Media.

Responsibilities

  • Enter information accurately into HRIS and work with payroll to ensure all information received on time (eg tuition reimbursement and officer reimbursements)

  • Create and manage weekly reporting on topics including new hires, transfers, open role status, etc.

  • Audit HRIS to ensure accuracy and proactively resolving any data errors

  • Run reports out of HRIS and proactively provide to appropriate internal teams (ie, Finance, HR, etc).

  • Complete audits and manage processes including but not limited to:

  • Letters of agreement; supervisor data; distribution lists; and transfer data

  • Serve as support for all employee leaves in partnership with benefits

  • Partner with other members of HR team to present new hire orientation sessions

  • Collect new hire paperwork/I9s and review for accuracy

  • Serve as contact for new hires from pre-onboarding through first 90 days

  • Act as first point of contact for general requests for employees across all offices; answer questions and direct employees to correct resource especially for new hires, terms and those going on personal/medical leaves.

  • Provide verbal/letterhead employment verification

  • Connect employees to benefits / payroll department for specific inquiries

  • Serve as right hand resource to senior leads on HR team, as needed

Qualifications

  • 1+ years of relevant work experience, can include internships, preferably in Human Resources or related areas

  • Microsoft Word, PowerPoint, and Excel; Intermediate Excel desired

  • Strong written and verbal communication skills

  • Demonstrate successful experience multi-tasking and prioritizing

  • Superior detail orientation and organizational skills and act with sense of urgency

  • Resourceful, able to work independently, and take initiative to anticipate and respond to employee/HR team needs

  • Navigate organization to find right solution and know when to raise issues to manager(s) for guidance

  • Customer service-oriented and professional and positive representative for group and company

Compensation Range: $39,710 - $57,615 annually. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time. Temporary roles may be eligible to participate in our freelancer/temporary employee medical plan through a third-party benefits administration system once certain criteria have been met. Temporary roles may also qualify for participation in our 401(k) plan after eligibility criteria have been met. For regular roles, the Company will offer medical coverage, dental, vision, disability, 401k, and paid time off.
