Position Summary:
We are seeking a highly motivated and dynamic individual to join our team as a People Operations & Workplace Experience Associate. This role blends two key functions—creating an exceptional workplace and people operations experience for employees while efficiently managing office operations. The ideal candidate will bring 2-4 years of experience in office management, facilities coordination, employee engagement, and people operations. They will be responsible for maintaining a productive, welcoming, and efficient office environment, as well as supporting various operational and administrative functions within the People Operations function.
The anticipated base salary range for this role is $70,000 to $75,000 annually (+10% discretionary bonus). Actual compensation will be commensurate with experience, qualifications, knowledge, and skills. This role will be a hybrid position based out of our Williamsburg office and the expectation is that this person will be in the office 4 days per week (Monday - Thursday).
Key Responsibilities:
People Operations & Workplace Experience:
Foster a positive, inclusive, and collaborative workplace culture by organizing events, team-building activities, and other company-wide engagement initiatives.
Act as a point of contact for employees regarding workplace needs and assist with any day-to-day office requests and issues.
Help to coordinate (set-up/breakdown) any team lunches or company-wide events.
Ensure that new hires feel welcomed and have all they need to be successful in their new roles (equipment, swag, desks, etc.)
Support implementation wellness programs and initiatives that enhance the overall employee experience.
Collaborate with wider People Operations and leadership teams to address employee feedback and suggest improvements for the workplace environment.
Partner with the other People Operations functions as needed (including but not limited to: HRBP work, engagement surveys, talent acquisition, etc.)
Office Management:
Oversee daily office operations, including coordinating office supplies, equipment, and vendor services (e.g., cleaning, catering, and maintenance).
Manage office budgets and handle purchasing, ensuring cost-effective solutions.
Ensure compliance with health and safety regulations, as well as company policies related to office use and employee conduct.
Serve as the point of contact for building management and external vendors, resolving issues and ensuring smooth operations.
Support the onboarding process for new hires, including office tours and set-up of workstations with our other locations.
Maintain and organize office spaces to ensure efficiency, organization, and a welcoming environment.
Administrative Support:
Assist with scheduling meetings, travel arrangements, and event coordination as needed.
Manage office calendars, space reservations, and other scheduling logistics.
Assist with managing communication between teams, departments, and leadership.
Handle day-to-day administrative tasks.
Key Candidate Requirements:
2-4 years of experience in office management, workplace experience, or a related role.
Excellent organizational and multitasking skills, with the ability to prioritize tasks and manage time effectively.
Strong and efficient self-starter who is not afraid to dive in and figure things out in times of ambiguity.
Strong interpersonal and communication skills with a customer-service-oriented mindset.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with office management software/tools.
Ability to work independently as well as part of a team in a fast-paced environment.
Strong problem-solving skills and attention to detail.
Prior experience in event coordination, employee engagement, or facilities management is a plus.
